Provide your input by chat
or email. If you have technical issues
please conduct a microphone check at
the beginning of the VTC. Imagine that
we have this typical situation: “Sir! We’ve
lost your audio, you are breaking up and
I see that you are trying to broadcast but
we can’t hear anything. We will move on
to the next slide, the floor is yours, please
move forward”. For comms check you can
use: Loud or low and clear or distorted.
If everything goes well you can answer
“Lima/Charlie”.
If you are the host and you need to pass
from one topic to another you can say
“moving on to the next slide/topic”. To encourage
someone to speak you can say
“please send over/go ahead”. However,
most often you will have many backseaters
who won’t talk during the VTC.
To pass from one slide to another you can
use this expression: “If there are no further
questions we will move on in 5 seconds”.
If you want to encourage someone to
step in you can say: “Can you give us a
quick update on this issue?” Words like
rundown, summary, insight or vision are
also useful terms.
If you want to remark one of the points
of the VTC you can say: “Our top bullet
this week is the situation in Somalia”. In
case you need to jump in you should raise
your “virtual” hand. Other times there are
some participants who say: “Good morning,
I’m good to go… Is the floor mine? Can
I say something?”.

Remember to insert a slide for “closing
remarks” with an “Outstation Order of
March”. At the end of the VTC the host
should express his appreciation to the
participants by saying something like
“This concludes the meeting, thanks for
dialing in, thanks for participating in the
VTC, it’s important that we continue to
stay with our mission focused.” Other
times the host may add: “I will leave the
meeting open for side discussions.” in
terms of letting participants to sort out
doubts or ask other questions before the
virtual meeting is closed down. ¢
